We are seeking a personable and detail-oriented receptionist to be the first point of contact for our clients, embodying our commitment to professionalism and compassion. Responsibilities
- Front Desk and Client Management
- - Greet clients and visitors professionally, ensuring a positive first impression.
- - Handle incoming calls and emails, directing inquiries and providing assistance to clients.
- Critical Email Forwarding
- - Forward all important emails, especially from courts and police stations, to Madam Fatma via email and WhatsApp promptly.
- Office Upkeep
- - Maintain the cleanliness of the office and washrooms, ensuring a welcoming and professional environment.
- Document Handling and Organization
- - Scan, merge, and prepare documents as instructed, with an emphasis on accuracy and confidentiality.
- Project Task Management in Odoo
- - Log and update follow-ups and task progress within the project module in Odoo.
- Appointment Scheduling
- - Assist with booking appointments for clients, ensuring smooth coordination.
- Supplies and Office Equipment Management
- - Monitor and restock office supplies, manage inventory, and ensure all office equipment, including door batteries, are functional.
Must Have
- Education: High school diploma or equivalent
- Experience: Proven receptionist
- Communication Skills: Proficiency in English; additional languages are a plus.
- Tech Proficiency: Comfortable using office software and tools, with a basic understanding of Odoo (or willingness to learn).
- Professionalism: Friendly, proactive, and able to maintain confidentiality.
Nice to have
- Advanced Knowledge of Odoo: Familiarity with Odoo CRM, Projects, and Discussion modules.
- Experience in Law Firms: Background working in legal environments to understand the nature of client requests and document handling.
- Language Skills: Fluency in languages other than English (e.g., Arabic) for diverse client interaction.
- Translation Coordination Experience: Previous experience working with translation companies for document processing.
