Job Summary:

We are seeking a highly organized and professional Legal Secretary to join our dynamic legal team at Fatma Al Moosa Advocate & Legal Consultancy L.L.C. The ideal candidate will play a critical role in supporting our lawyers, managing administrative tasks, and ensuring the smooth running of legal operations.

Key Responsibilities:

  • Provide administrative support to attorneys and legal consultants.
  • Prepare, edit, and proofread legal documents such as contracts, agreements, and pleadings.
  • Maintain and organize files, including sensitive and confidential materials.
  • Schedule client meetings, court appearances, and manage the attorneys’ calendars.
  • Handle incoming and outgoing communication, including phone calls, emails, and correspondence.
  • Conduct legal research as needed.
  • Liaise with clients, courts, and government authorities when necessary.
  • Process and file legal documents with government authorities and the courts.
  • Maintain office supplies and ensure the proper functioning of office equipment.
  • Manage billing, invoicing, and legal expenses for the firm.

Required Qualifications:

  • Proven experience as a Legal Secretary or similar role within a legal firm.
  • Familiarity with UAE legal procedures, court systems, and regulations.
  • Strong knowledge of UAE government sites such as:
    • Dubai Courts
    • Federal Courts
    • Abu Dhabi Courts
    • Dubai Public Prosecutor Site
    • Federal Public Prosecutor Site
    • Dubai Rental Dispute Center
    • Sharjah Rental Dispute Center
    • Dubai Police Site
    • Federal Police Sites
    • And other relevant sites for completing legal tasks.
  • Proficiency in legal document management and filing systems.
  • Strong knowledge of legal terminology and processes.
  • Excellent organizational and time-management skills.
  • Ability to handle confidential information with discretion.
  • Proficiency in MS Office Suite and legal software.
  • Fast learner with strong internet and research skills, and proficiency in necessary tools.
  • Outstanding written and verbal communication skills, both in English and Arabic.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong interpersonal skills and ability to work well within a team.

Preferred Experience:

  • 2-5 years of experience in a legal support role.
  • Prior experience in UAE law firms is highly desirable.
  • Familiarity with legal software and case management systems.
  • Experience in client communication and liaising with government authorities.
  • Bachelor's degree or diploma in legal studies or a related field is a plus.
